Staff Experience

The Staff Experience module records the teaching and professional experience of faculty members.

Information that may be stored includes:

  1. Staff Member ID
  2. Previous institution or organization
  3. Designation held
  4. Duration of employment
  5. Area of specialization

This information helps the institution track the academic background and experience level of faculty members. It is also useful for accreditation, institutional reports, and faculty evaluation.

Staff Experience – Field Explanation

The Staff Experience section is used to record the academic qualifications and professional experience of faculty members. This information helps the institution maintain a detailed profile of teaching staff for academic management and reporting.

Staff Id

This is the unique identification number assigned to a staff member in the system.

Example:

SKDC003

This ID links the experience record to the staff member’s main profile in the staff database.

Qualification

This field records the highest educational qualification of the staff member.

Example:

Ph.D

Other possible qualifications may include:

  1. M.Tech
  2. M.Sc
  3. MBA
  4. M.A

This information helps identify the academic credentials of faculty members.

Completed Year

The year in which the qualification was completed.

Example:

This helps track when the faculty member completed their highest degree.

College/University Name

This field stores the name of the institution where the qualification was obtained.

Total Experience

The Staff Report screen in the Faculty Teaching Setup module is used to generate filtered reports of staff members based on different criteria. It helps administrators view staff information such as department, designation, and experience.

Below is the explanation of the fields available on this screen.

Institute Name

This option allows the user to select the institute or campus for which the staff report should be generated.

Purpose:

  1. Filter staff belonging to a specific institute
  2. Useful when multiple institutes or campuses are managed in the system

Example:

Select Institute Name ? BITM Engineering College

Profile / Designation

This field is used to filter staff based on their designation or role in the institution.

Examples of profiles include:

  1. Professor
  2. Associate Professor
  3. Assistant Professor
  4. Lecturer
  5. Administrative Staff

Selecting a profile will show only staff members with that designation.

Department

This filter allows administrators to generate reports department-wise.

Examples:

  1. Computer Science Engineering
  2. English
  3. Pathology
  4. Mechanical Engineering

This helps view staff working in a specific department.

Gender

This option filters staff records based on gender.

Possible selections:

  1. Male
  2. Female
  3. Others

This filter is useful when generating gender-based staff statistics or institutional reports.

Status

This field indicates the employment status of staff members.

Common status values include:

Status Meaning
Active Currently working staff
Inactive Staff who are no longer working
On Leave Staff temporarily unavailable

Selecting a status will display staff records accordingly.

Staff Id

This field allows users to search for a specific staff member using their Staff ID.

Example:

If entered, the report will show the details of that particular staff member.

Report Table Columns

After applying filters, the report displays staff information in a table with the following columns.

Unique identification number assigned to each staff member in the system.

First Name

The first name of the staff member.

Department

The department where the staff member is currently working.

Example:

Profile

Shows the designation or role of the staff member.

Mobile Number

Total Experience

Assign Classes to Staff

The Assign Classes to Staff module is used to allocate teaching responsibilities to faculty members.

This setup ensures that each class or subject has a designated teacher responsible for teaching and academic management.

Staff Statistical Report – Explanation

The Staff Statistical Report provides a summary count of staff members based on their designation or profile within the institution. Instead of showing individual staff records, it displays statistical data that helps administrators understand staff distribution.

Filter Fields

Institute Name

This option allows users to select the specific institute or campus for which the statistical report should be generated.

Purpose:

  1. View staff statistics for a particular institution
  2. Useful when multiple campuses or institutes are managed in the system

Department

This filter allows users to generate the statistical report department-wise.

Purpose:

  1. View staff distribution within a specific department

Report Table Columns

After selecting the filters, the system displays the statistical report with the following columns.

Profile / Designation

This column shows the designation or role of staff members in the institution.

These categories represent different profiles recorded in the system.

Count(s)

This column displays the total number of staff members belonging to each designation.

Meaning:

  1. The institution has 12 Professors.
  2. There is 1 Assistant Professor.

Assign Classes to Staff – Field Explanation

The Assign Classes to Staff section is used to define the teaching workload and class limits for each staff member. It helps manage how many classes a faculty member can handle and controls scheduling in the staff routine.

Institute Name

This field specifies the institution or campus to which the staff member belongs.

Purpose:

  1. Manage teaching assignments institute-wise
  2. Useful when the system manages multiple institutes or campuses

In the table shown, the value appears as null, which means the institute may not have been assigned or recorded for that entry.

Staff Id

This is the unique identifier for each staff member.

Examples from the list:

  3. CKPTS001
  4. ESPL0108
  5. espl0150
  6. SDCBS001

This ID connects the routine settings with the staff member’s profile.

Maximum Classes

This field defines the maximum number of classes a staff member is allowed to teach within a specific timetable period (such as a week).

Meaning the staff member should not be assigned more than 12 classes.

Minimum Classes

This field defines the minimum number of classes a staff member should teach.

Example:

  1. Staff 21EAC012 ? Minimum Classes = 10

This ensures that the faculty member is assigned at least the required number of classes.

Daily Classes

This field specifies the maximum number of classes a staff member can teach in a single day.

Example:

  1. Staff espl0150 ? Daily Classes = 2

Meaning the system should not schedule more than 2 classes per day for that staff member.

Continuous Classes

This field defines the maximum number of consecutive classes a staff member can teach without a break.

Example:

  1. Staff SDCBS001 ? Continuous Classes = 8

Meaning the system allows up to 8 continuous classes before requiring a break.

This helps avoid excessive workload and improves timetable balance.

Staff Routine Table

The table displays the configured teaching limits for each staff member with the following columns:
